This Privacy Policy sets out how The Rainbow Paws Program will collect and manage your personal information. It does not apply to personal information collected by The Rainbow Paws Program that is exempted under the Privacy Act.
Definitions
In this Privacy Policy,
‘The Rainbow Paws Program’, ‘we’, ‘us’ and ‘our’ mean the organisation carrying on business under the name of The Rainbow Paws Program.
‘Personal information’ means any information that can be used to personally identify you.
‘Sensitive information’ means (without limitation) information or an opinion about an individual’s race or ethnic origins, political opinions and associations, religious beliefs or affiliations, philosophical beliefs, sexual preferences or practices, trade or professional associations and memberships, union membership, criminal record, health or genetic information or biometric information, including “sensitive information” as defined in the Privacy Act 1988.
Personal information we collect
The main types of personal information we collect include name, address, email, telephone number, age or date of birth, profession or occupation and employer, and any other contact details you wish to provide. In order to provide our services, we may also ask for a copy of documentation such as concession cards, pet registrations or referrals from social workers. We will also collect and store a record of volunteer's Working With Vulnerable People checks.
Where we collect, use and disclose sensitive information about you, we will only do so where it is reasonably necessary to conduct our business and either:
we have obtained your consent
it is permitted by law.
How we collect personal information
The information we collect is generally directly from you (either via the phone, email or in person). In certain circumstances, we will collect information from a third party about you when you are unable to provide the information yourself. This information may come from a family member or friend, or a social worker who is assisting you.
We may also collect personal information when you make a donation to us or you contact us through our website or social media accounts. We may also collect personal information about you from your use of our websites and information you provide to us through contact mailboxes or through the registration process on our websites, Twitter or Facebook. If you provide us with someone else’s personal information, you should only do so if you have their authority or consent to provide us with their personal information. If we receive your personal information from a third party we will contact you and make you aware of this Privacy Policy and how we obtained your personal information.
Use of personal information
The Rainbow Paws Program collects personal information for various purposes including:
to respond to requests for assistance from social service agencies
to maintain contact with our volunteers
for administrative purposes
for purposes of organising collections of donations
for the engagement of service providers, contractors or suppliers relating to the operation of our organisation, or
for data collection and program evaluation purposes
The Rainbow Paws Program may also use your personal information for the purpose of emailing a donation receipt or thank you message.
Disclosure of personal information
The Rainbow Paws Program will not disclose your personal information to third parties unless:
we have your consent; or
it is permitted by law.
If we do disclose personal information to third parties, we will do so in accordance with the purpose for which the personal information was collected, or a related or ancillary purpose. The types of third parties we may disclose your personal information to include:
our service providers
our community agencies and goods recipients
Rainbow Paws Program volunteers who need the information to do their job
if you are an employee/volunteer, a contractor or supplier of services to a client, then we may disclose your personal information as part of providing services to that client
We do not disclose personal information to third parties for the purpose of allowing them to send marketing material to you.
Storage and retention of personal information
We take reasonable steps to protect any personal information that we hold from misuse and loss. We also take reasonable steps to protect it from unauthorised access, modification and disclosure. The security measures we take include physical security measures, and technology security measures (including restriction of access, firewalls, the use of encryption, passwords and digital certificates). The personal information you provide to us will be retained only for as long as necessary to fulfil the purposes for which the information was collected, as required by law or in accordance with our documentation retention policies.
Privacy on our websites
Cookies: We may send cookies, or small pieces of information, to your web browser in order to collect information on your browsing session. Our cookies do not collect personal information, but may be used for: Recording preferences that you specify on our websites;
Providing general visitor and customer analytics for internal reference;
Conducting research to improve our content, products and online services; and
Assisting with direct marketing, should you opt-in for this service.
Supporting security measures, such as requiring you to re-login to a site after your account has been inactive for a period of time

You have several choices regarding your use of The Rainbow Paws Program websites. In general, you are not required to provide personal information when you visit our websites. However, if you apply to receive information about our services, events and or wish to volunteer, we may require you to provide certain personal information to enable us to fulfill your request.
Links to third party websites
The Rainbow Paws Program websites may contain links to third party websites, including sites maintained by businesses who provide us with financial support and donations for goods-in-kind. Those other websites are not subject to our privacy policies and procedures. You will need to review those websites directly to view a copy of their privacy policies. The Rainbow Paws Program does not endorse, approve or recommend the services or products provided on those third party websites.
Children
We understand the importance of protecting children’s privacy, especially in an online environment. In particular, our websites are not intentionally designed for or directed at children under the age of 13. It is our policy to never knowingly collect or maintain information about anyone under the age of 13.
Accessing your personal information that we hold
You may request access to any personal information we hold about you at any time by contacting us (see the Contact us box below). You will be required to provide verification of your identity, and we reserve the right to withhold information if we are not satisfied you are the person identified in it.
Once verification is complete, where we hold information that you are entitled to access, we will make reasonable efforts to provide you with suitable means of accessing it (for example, by mailing or emailing it to you). There may be instances where we cannot grant you access to the personal information we hold. For example, we may need to refuse access if granting access would interfere with the privacy of others or if it would result in a breach of confidentiality. If that happens, we will give you written reasons for any refusal.
If you believe that personal information we hold about you is incorrect, incomplete or inaccurate, then you may request us to amend it. We will consider if the information requires amendment. If we do not agree that there are grounds for amendment then we will add a note to the personal information stating that you disagree with it.
